3 school apps, 1 inbox and a flyer in the backpack: where to start
A simple way to track official school notices across apps, email, texts and paper, and to pull out only what needs action.
Short answer
List the channels your school uses, decide which are official for dates and forms, and move only the action items into 1 family plan. Keep a link or photo of each original notice, and ask the school when 2 channels disagree.
Map the channels you have
Write down every place school information can arrive: the district app, the classroom app, email, texts, the school website, the payment site, paper in the backpack and the parent group chat.
The list is often long. In an r/Mommit thread, a parent with 2 kids at 2 schools counted about 6 apps, plus email and whatever comes home in the backpack.

Pull out only what needs action
- Events you must attend or plan around.
- Forms, payments and sign-up deadlines, each as its own job.
- What your child must bring or wear, and on which day.
- The adult responsible, plus a link or photo of the original.
A photo post from art class can stay in the app. A 1-line note about tomorrow’s dress-up day belongs in the family plan, even if it arrived in a PDF attached to a fundraiser message.
Set up each app once
- Sign in, and check that the email and phone number match what the school has on file.
- Add the second adult, or ask the school to, so each of you gets the messages.
- Choose email where the app allows it, so messages land where you can search and forward them.
- Write down what the app is official for: closures, class news, forms or sign-ups.
- Turn off what you don’t need, like reaction alerts or a second copy by text.

When a message lives only in the app
Some posts never reach email. Take a screenshot that shows the date, the class and the words, then treat it like any other notice: date, job, what to bring, who.
Save the screenshot next to your school emails, so the original is in the same place as everything else.
The class chat isn’t the front office
Parent groups are good for “Does anyone know where the form went?” They can also repeat an old date with great confidence. If a chat message changes a deadline or pickup, find the school’s notice or ask the school.
When the school’s own channels disagree, save both messages and ask which one is current. The family plan can say “awaiting confirmation” in the meantime.

Share the routine
Agree which adult checks which channel, and when. If 1 adult gets every message, send the other the job and its source. A shared password alone leaves them to dig for it.
Access for both adults helps. Each one assuming the other checked doesn’t.
