The school changed the date. How to update the family plan
A 4-step way to handle a moved school date, a notice that contradicts another one and the pickup plan that depends on it.
Short answer
When a school date changes, save the new notice, mark the old plan as replaced, move every job tied to the old date and tell the adult doing pickup or prep. If 2 notices disagree, ask the school which one is current before you change anything.
A moved date moves more than 1 thing
A field trip that moves a week can move the slip deadline, the lunch order and a grandparent’s pickup. Change only the calendar event, and the smaller jobs stay stuck on the old day.
Open the plan and list every job tied to that event before you change anything. It’s often more than 1 line.
The 4-step update
- Compare the new notice with the old one. Which facts changed, and which stayed the same?
- Move the event and every deadline and reminder tied to it.
- Save the new notice, and label the old one “replaced” so nobody follows it by accident.
- Tell each person whose job moved. If the change is 2 days away or less, ask for a quick “got it.”

Treat a contradiction as a question
Sometimes the newsletter says one date and the app says another. Neither is more reliable because it’s newer or louder. Contact the school, then write down the answer they give.
Until you hear back, “date to confirm” is a better plan than a precise time you had to guess.

Tell the people outside your home
Quick change: Leo’s field trip moved from Fri, Oct 23 to Fri, Oct 30. On Oct 23, pickup is the normal 3:15 PM at the front office. On Oct 30, the bus is back at 2:45 PM and pickup is still 3:15 PM. Can you reply “got it”?
Give the new date, the old date and what each person does on each day. Asking for a reply turns “I think I told them” into “they confirmed.”
Urgent changes often arrive by phone
Closures and weather delays tend to come as calls, texts and app alerts. Hood River County School District in Oregon, for example, sends delays and closures through ParentSquare by phone call, email, text and app, using the contact details families gave at registration.
