Sharing the mental load of school admin, one real job at a time
Remembering is work too. How to split school jobs so each adult owns the whole task, from noticing it to marking it done.
Short answer
To share school admin, split the remembering as well as the doing. Give each job an owner who sees the original notice, tracks the deadline and marks it done. Look at the split together once a week.
The part nobody sees
Signing a form takes a minute. Knowing the form exists, finding the deadline, remembering where it went and checking it came back can fill a week with small mental tabs.
Sociologist Allison Daminger studied 35 couples and named 4 parts of this thinking work: anticipating needs, finding options, deciding and monitoring. In her study, women did more of the anticipating and monitoring, while deciding was close to equal.
A parent in r/Mommit said it in a post that drew more than 500 comments: “I’m so done being the only one who remembers things.”
The 4 parts of 1 school job
| Part | Picture day example |
|---|---|
| Anticipate | Picture day is coming, and there’s an order form |
| Find options | Packages, a retake day, what to wear |
| Decide | Which package, which shirt |
| Monitor | Did the form go back? Did the photos arrive? |
Ask each adult which parts they hold now. If one person does the doing while the other holds the anticipating and monitoring, the job was only half handed over.
Give someone the whole job
- List this week’s school jobs from the real notices.
- Choose an owner for each job, and give them the message and the deadline.
- Let the owner set their own reminder and mark the job done.
- At the end of the week, ask whether anything was unclear or landed on the wrong person.
You don’t need equal numbers of jobs. You need a split both adults can explain and carry. The parent doing Tuesday pickup may be best placed to return Tuesday’s form, while the other owns Thursday’s dentist visit.
School jobs worth splitting first
These come back every year and carry a lot of hidden remembering.
- Picture day: the order form, the outfit, the retake date.
- Spirit week: a different theme each day, and an outfit for each.
- Parent-teacher conferences: booking a slot, going, and passing on what the teacher said.
- Class party and volunteer sign-ups: the slot, the item, the drop-off.
- School supplies and the refills that come later in the year.
A week, split
This week, Oct 19–23 Alex: field trip slip (due Wed), Tue pickup, library books back Thu Jamie: picture day form (due Mon, Oct 26), dentist Thu 4:00 PM, Fri pickup Unassigned: class party snack sign-up · decide by Tue
Match the information to the person doing the work
A parent at home may do every pickup and still be left off school messages. A parent at work may get every email and never stand in the pickup line. Send each job, with its original notice, to the adult doing it.
Questions to ask the school
- “Can you list both of us as contacts, so we each get the messages?”
- “Which app or channel is official for forms and dates?”
- “Can the teacher copy both of us on emails about our child?”
Questions to ask each other
- “Which jobs do you want to own from start to finish?”
- “How do you want your reminders: email, phone notification or a note on the fridge?”
- “What counts as done for this job?”
- “Which school messages reach you, and which don’t?”
A good test
Ask each adult on their own: “What needs doing for Friday?” If 1 of you can only answer by calling the other, the handoff needs more context. Fix the plan, not the person.
The goal is a packed backpack on Friday morning, not a win in an argument about systems.
Questions parents ask
What is the mental load of school?
It’s the thinking work behind school tasks: noticing what’s coming, finding the details, deciding and checking that it got done. It often sits with 1 parent even when the doing is shared.
What’s a fair way to split school tasks?
Give each job 1 owner who handles it from notice to done. The split doesn’t need equal numbers; it needs to be one both adults agree on and can carry.
Should we split school jobs by child or by day?
Either can work. Some families split by day, so the adult doing Tuesday pickup owns Tuesday’s jobs; others give each adult 1 child’s class. Pick the split that matches who is where.
How do I get my partner to notice school jobs?
Send them the job with its date and the original notice, not only a forwarded email. Ask the school to add them as a contact so the messages reach them too.
