How to use it
- Count back from the party date and write the real date next to each heading.
- If two adults are planning, put a name on the “Who” line.
- Fill in the RSVP sheet as replies come in, allergies included.
- On the day, keep the sheet at the gift table and note each gift as it’s opened.
- Tick the Thank-you column as notes go out.

Tips
- Ask about allergies on the invitation. The 9 major food allergens in the US are milk, eggs, fish, shellfish, tree nuts, peanuts, wheat, soy and sesame.
- If a guest has a serious allergy, ask their parent what they’d like you to do, and whether they plan to stay.
- For kids under 4, skip popcorn and hard candy, and cut grapes and hot dogs into small pieces. The AAP lists all four as choking hazards.
- The AAP also warns that balloons are a choking risk for children up to age 8, which is why broken pieces go in the trash right away.
- Put an end time on the invitation. Parents plan pickup around it, and the party ends on a high note.

Start about 6 weeks out if you’re booking a venue, and send invitations 3 to 4 weeks before the party. A small party at home can come together in 2 to 3 weeks.
When should you send birthday party invitations?
About 3 to 4 weeks before the party, with an RSVP date 1 to 2 weeks before it. That leaves time to chase replies and plan food around allergies.
Should parents stay at a kid’s birthday party?
It depends on the child’s age and the host. Hosts can write “drop-off” or “parents welcome” on the invitation, and guests can ask when it isn’t clear.
How do you handle food allergies at a kids’ party?
Ask on the invitation, write each allergy on the RSVP sheet and label the food. For a serious allergy, ask the child’s parent what they’d like you to do.
